Quick answer: A US virtual receptionist costs from $49 to $300 a month at entry level on vendors’ own pricing pages, as at 2 November 2026, but your call volume sets the bill. At 100 calls of 2.5 billable minutes, six services we priced cost $448.50 to $1,725 a month; a receptionist’s mean wage is $3,288 a month (BLS).
This page prices human virtual receptionist services sold in the US, in US dollars, from each vendor’s own pricing page, FAQ or terms, all read on 2 November 2026: PATLive, Posh, Davinci Virtual, Abby Connect, Ruby and Smith.ai’s Virtual Receptionists. AnswerConnect is named but not priced, because its pricing page is a form that asks for your name, company email and phone number. The in-house comparison uses the US Bureau of Labor Statistics’ Occupational Employment and Wage Statistics (OEWS) and its Employer Costs for Employee Compensation (ECEC) release. If you are in Australia, our comparison of virtual receptionist options in Australia covers the local services.
How we built this page. Inclusion rule: a service is priced only if its plan price and included allowance are printed on its own site. Where a vendor does not print an overage rate, we say so and do not guess one. No review or comparison sites were used. Disclosure: zian.ai publishes this page and Zian AI appears in it, listed first as our pick; LeadsNow.ai, which runs on Zian, is listed as the done-for-you pick. No vendor paid to be included.
Where Zian fits when you are pricing a virtual receptionist
If the calls you would pay a virtual receptionist to answer are mostly enquiries you want turned into booked appointments, Zian AI is our pick: it answers inbound calls 24/7 as an AI receptionist, qualifies callers, books appointments, transfers calls or takes messages, then follows up by voice, SMS, email, WhatsApp, Instagram DMs and Facebook Messenger. If you would rather hand the whole job over, LeadsNow.ai is the done-for-you option, a managed appointment-setting service billed pay-per-result that runs on Zian and answers leads in under 60 seconds, 24/7.
Zian is in a partnership-application beta and does not publish a price, so the worked bills below do not compute one for it. Each of its three listed plans, including Intel + Widgets (Free Forever), starts with a partnership application. It handles answering machines and voicemail on calls, works in 30+ languages with voice cloning supported, and connects to HubSpot, Salesforce, HighLevel and Zapier. Zian has been running outbound acquisition since 2017 and reports 50,769+ qualified sales appointments set; LeadsNow.ai reports the same 50,769+ appointments. The human services on this page bill for time or calls answered; Zian is built around what happens after the answer.

The quotable figure: on the six human services we priced, a published US virtual receptionist plan costs $49 to $300 a month to start, and the published overage runs from $1.49 a minute (PATLive’s 5,000-minute plan) to $11.50 a call (Smith.ai Starter).
Per minute, per call or a monthly bundle: what each billing model counts
Virtual receptionist prices are sold in three shapes, and the same month of calls lands differently in each.
Per minute. PATLive, Posh, Davinci, Abby and Ruby sell a bundle of receptionist minutes for a monthly fee, then charge for each minute beyond it. What counts as a minute is the hidden variable. PATLive says it bills only “the time receptionists are live on your calls” and does not charge “for after-call notes, message entry, or wrap-up”. Davinci bills “per second increments, not per minute increments”. Ruby’s Terms of Use say receptionist minutes “are calculated and billed in 60-second increments and calls are rounded up to the next 60-second mark”, and include hold time plus “any time a receptionist spends completing any information on your call after the caller has hung up”. Its FAQ gives a ten-second call as an example, “billed as 60 seconds (or half of a receptionist minute)”; the Terms are the clearer of the two. Posh counts time on the phone “or the time spent completing an activity for your account”.
Per call. Smith.ai’s human Virtual Receptionists charge a set number of calls a month and a flat fee for each extra call, however long it runs. Smith.ai’s pricing FAQ puts its own case: “Billing per client call saves you money, and there’s no mystery accounting involved. … You wouldn’t rush a client off the phone and we don’t either.” Per-call billing is the better deal when calls are long, and the worse one when most calls are a 40-second message. The flat fee has a scope: Smith.ai’s Reasonable Use Policy includes the caller’s intent, contact details, up to five short-answer intake questions and simple lead qualification in the call price, and says calls outside that scope “may incur additional fees to cover time and effort”.
Monthly bundle with no metered overage printed. Ruby and Abby both publish bundles but not the rate you pay beyond them. Ruby’s FAQ says extra minutes are “billed according to the overage rate associated with your plan” and that its app alerts you at 85% and 100% of your minutes; we could not find the rate itself on Ruby’s pricing page, FAQ or Terms of Use, as at 2 November 2026. Abby says overage “is billed at your plan’s Abby Minute rate” without printing that rate as a number. For both, the only bill you can compute in advance is the smallest bundle that covers your minutes.
Two services blend in AI answering. Abby counts a minute of AI answering as half an Abby Minute (“up to twice as far”), and Posh’s AI + Live Receptionist plans keep the same monthly prices as its live plans while charging AI minutes at about half the live rate (Vogue AI: $2.20 a live minute, $1.10 an AI minute).
Worked bill: what 100, 300 and 600 calls a month cost
Three US call profiles, each pushed through every vendor’s published plan rules, choosing the cheapest plan-plus-overage combination that vendor publishes. Every step is shown so you can swap in your own numbers.
Assumptions, not vendor claims. 2.5 billable minutes per call, which is PATLive’s own ratio (its 50-minute plan is labelled “About 20 calls”). Every call billable, no spam exclusions, monthly billing, no taxes, no one-time setup fees and no per-call add-ons. 100 calls is 250 minutes, 300 calls is 750 minutes and 600 calls is 1,500 minutes. Because Ruby rounds each call up to the next minute and counts after-call work, the same calls will usually use more Ruby minutes than PATLive minutes; we have not adjusted for that, which flatters Ruby.
| Service | 100 calls / 250 min | 300 calls / 750 min | 600 calls / 1,500 min |
|---|---|---|---|
| Zian AI | No public price during the partnership-application beta; not computed | ||
| LeadsNow.ai | Pay-per-result, so a per-minute or per-call bill does not apply; not computed | ||
| PATLive | 200-min plan $349 + 50 × $1.99 = $448.50 | 500-min plan $759 + 250 × $1.79 = $1,206.50 | 1,000-min plan $1,499 + 500 × $1.69 = $2,344.00 |
| Davinci Business | Business 50 $129 + 200 × $1.75 = $479.00 | $129 + 700 × $1.75 = $1,354.00 | $129 + 1,450 × $1.75 = $2,666.50 |
| Posh | Luxurious $420 + 50 × $2.10 = $525.00 | Lavish $975 + 250 × $1.95 = $1,462.50 | Exclusive $1,900 + 500 × $1.90 = $2,850.00 |
| Davinci Premium | Premium 100 $319 + 150 × $2.50 = $694.00 | $319 + 650 × $2.50 = $1,944.00 | $319 + 1,400 × $2.50 = $3,819.00 |
| Smith.ai Virtual Receptionists | Basic $810 + 10 × $10.50 = $915.00 | Pro $2,100 (300 calls fit) = $2,100.00 | Pro $2,100 + 300 × $8.50 = $4,650.00 |
| Abby Connect | Growth $1,380 (250 fit the 500 included) | Above the 500-minute Growth plan: Enterprise by quote, or overage at an unprinted rate | As for 300 calls |
| Ruby | 500-min plan $1,725 (250 fit the 500 included) | Above 500 minutes: “just talk to us”, or overage at an unprinted rate | As for 300 calls |
| In-house receptionist (wages only) | $3,288.33 | $3,288.33 | $3,288.33 |
| Smith.ai AI Receptionist (AI, for comparison) | Pro 75 $150 + 25 × $2.50 = $212.50 | Pro 300 $500 (300 calls fit) = $500.00 | Enterprise 500 $800 + 100 × $2.10 = $1,010.00 |
Read three things from the table. First, at 2.5 minutes a call PATLive is the lowest of the human services we could price at all three volumes. Second, Davinci’s Business 50 plan plus overage comes second, because its $1.75 overage is lower than any overage PATLive or Posh publishes on plans of 500 minutes or fewer; but Davinci’s FAQ says its live team answers on weekdays from 8 am to 8 pm Eastern, while its product page promises “24/7 availability”, so check which applies before you compare it with 24/7 services. Its scheduling and outbound calls sit on Premium, and it charges $95 once at setup. Third, Ruby and Abby are only computable at 100 calls: at 250 minutes their smallest covering bundle is 500 minutes, and a smaller plan plus overage may cost less, at a rate neither page prints. Ask for it.
Smith.ai also sells an AI-first plan and a Hybrid option alongside its human service; our breakdown of Smith.ai’s AI Receptionist pricing sets out all three of its price lists.
Which virtual receptionist billing model is cheapest at your volume?
The answer turns on two numbers you can pull from your phone bill: calls a month and the average billable minutes per call. This threshold table shows the lowest published bill among PATLive, Posh, Davinci Business, Ruby, Abby and Smith.ai’s human plans for each combination, using the same rules as the worked bill.
| Average billable minutes per call | 100 calls | 300 calls | 600 calls | Model that wins |
|---|---|---|---|---|
| 1.5 minutes | $293.50 (PATLive) | $759.00 (PATLive) | $1,475.00 (PATLive) | Per minute |
| 2.5 minutes | $448.50 (PATLive) | $1,206.50 (PATLive) | $2,344.00 (PATLive) | Per minute |
| 4 minutes | $668.00 (PATLive) | $1,837.00 (PATLive) | $3,555.00 (PATLive) | Per minute |
| 6 minutes | $915.00 (Smith.ai) | $2,100.00 (Smith.ai) | $4,650.00 (Smith.ai) | Per call |
| Break-even call length | 5.88 minutes | 4.52 minutes | 5.37 minutes | Per call wins above this |
The decision rule: if your average billable call runs under about 4.5 minutes, a per-minute virtual receptionist will usually cost less than a per-call one on these published rates; above about 6 minutes, per-call wins at each of the three volumes in the table. Between 4.5 and 6 minutes it depends on volume, and the per-call plan does best when your volume sits exactly at its allowance, as 300 calls does on Smith.ai’s Pro plan. The per-call rows assume every call stays inside Smith.ai’s Reasonable Use scope; a long call spent on extended intake or booking carries per-call add-on fees on top.
Two adjustments before you use it. If your vendor rounds each call up to a whole minute and counts after-call work, add that time to your average; a 2-minute call can bill as 3 or more. And if most of your calls are short messages, a per-minute plan with per-second billing (Davinci) or live-time-only billing (PATLive) gains the most.

What pushes a virtual receptionist bill above the plan price
The plan price is the floor. These are the line items that move the total, each with what the vendors’ own pages say about it.
| Cost driver | What the vendors’ pages say (as at 2 November 2026) |
|---|---|
| Overage | Published per minute by PATLive ($2.99 to $1.49), Posh ($2.30 to $1.90) and Davinci ($1.75 Business, $2.50 Premium); per call by Smith.ai ($11.50 to $8.50). Ruby and Abby charge “your plan’s” rate without printing it. |
| How a minute is counted | PATLive: live time only, no wrap-up. Davinci: per second. Ruby: rounded up to the next 60 seconds, includes hold time and after-call work. Posh: includes “time spent completing an activity for your account”. |
| After-hours and weekends | PATLive: “No night or weekend fees.” Smith.ai: “Calls at 2 pm and 2 am cost the same.” Ruby: no fees for “coverage during certain periods”. Davinci’s FAQ: live answering on weekdays 8 am to 8 pm Eastern, automated outside those hours. |
| Spanish and bilingual calls | PATLive: “No bilingual fees.” Ruby: Spanish included at no additional cost, though its FAQ also limits bilingual service to Monday to Friday, 5am to 6pm Pacific. Smith.ai: dedicated Spanish line $1.00 a call. |
| Spam and robocalls | Smith.ai: not charged “as long as the lines you forward to us pass Caller ID”. Ruby lists robocall filtering; Abby says it blocks unwanted calls “to save time and minutes”. |
| Setup fees | Davinci: $95 one time for live receptionist service. Ruby, Smith.ai and Abby say no setup fee. |
| Per-call add-ons | Smith.ai: appointment booking $1.50, call recording and transcription $0.25, payments $1.00 a call, among others; extra transfer destinations $15 a month. PATLive and Posh say their plans include all features. |
| Taxes | PATLive prices are “Plus government taxes and fees”; Posh’s worked example is “before taxes”. |
Ruby’s pricing page and its FAQ both describe Spanish as available 24/7, while the same FAQ says “Ruby’s bilingual service and outgoing call assists are available Monday to Friday, 5am to 6pm Pacific / 8am to 9pm Eastern”. If Spanish-speaking callers ring at night, ask Ruby which statement governs your account.
Refund terms differ too. Ruby offers a money-back guarantee to first-time users within 21 days or before usage exceeds 500 receptionist minutes, whichever comes first. Smith.ai calls its guarantee a 30-day money-back guarantee and asks for an email within 30 days, but the same paragraph says it refunds the initial plan if you decide “in the first two weeks”, and overage calls are excluded, up to $1,000. Posh offers a free trial of seven days or 250 receptionist minutes, and PATLive a 14-day free trial.
Virtual receptionist cost vs an in-house receptionist
A receptionist on staff costs about $3,288 a month in wages alone at the US national mean, and more than $4,800 once typical benefits are added. The US Bureau of Labor Statistics’ OEWS estimates for May 2025, the latest release, put the national mean wage for receptionists and information clerks (occupation 43-4171) at $18.97 an hour and $39,460 a year; the median was $18.27 an hour and $38,010 a year. $39,460 ÷ 12 = $3,288.33 a month, for about 173 staffed hours (2,080 hours ÷ 12).
Wages are not the whole cost. In the BLS Employer Costs for Employee Compensation release for June 2026, wages and salaries made up 68.5 percent of employer costs for full-time private industry workers, and benefits the remaining 31.5 percent. That ratio covers all full-time private-sector workers, not receptionists specifically, so treat the result as an estimate: $3,288.33 ÷ 0.685 = $4,800.49 a month.
Coverage is the other half of the comparison. One full-time receptionist covers about 173 of the roughly 730 hours in a month; staffing the phone 24/7 takes 8,760 ÷ 2,080 = 4.2 full-time equivalents before leave cover. On the published rates above, an outsourced bill crosses the wage figure at about 2,238 billable minutes a month on PATLive (37 hours of receptionist talk time) or 440 calls on Smith.ai’s human plans; it crosses the benefits-loaded estimate at about 3,316 minutes (55 hours) or 618 calls.
The case for the person: a receptionist also greets visitors, handles post and does admin between calls, which no answering service prices in. If your calls arrive in business hours and someone is already at the desk, the comparison can favour the hire.
Virtual receptionist vs AI receptionist cost
An AI receptionist answers for a fraction of a human service’s per-call price on published rates, but what it does with the call varies by product. Smith.ai’s AI Receptionist, for example, costs $0 for 25 calls (then $3.00 a call), $150 for 75 calls, $270 for 150, $500 for 300 and $800 for 500 calls a month, with extra calls at $2.50 down to $2.10, and offers escalation to Smith.ai’s live agents. At 300 calls that is $500, against $2,100 for the same 300 calls on Smith.ai’s human Pro plan. Abby’s hybrid plans make the same point inside one bill: an AI minute uses half an Abby Minute.
AI receptionist products price in their own units (minutes, calls, unique customers, automatic plan upgrades) and their bills spread just as widely as human services do. Our AI receptionist price sheet for small businesses runs nine of them through the same call profiles. Zian, an AI receptionist that also runs outbound follow-up, is in a partnership-application beta with no published price.
The trade is judgement for coverage. A human receptionist handles the caller nobody scripted for; an AI receptionist answers every call at once, at 3 am, in many languages. Several human services now sell both, and the comparison of human answering services and AI receptionists in Australia sets out the capability differences for Australian buyers.
Want the calls answered and the follow-up run for you? Zian answers inbound calls as an AI receptionist around the clock, books appointments and follows up across voice, SMS and messaging channels. It is in a partnership-application beta. Apply For Partnership
Virtual receptionist cost: the questions people ask
How much does a virtual receptionist cost per month in the US?
Entry plans on the vendors’ own pricing pages run from $49 a month with no minutes included (PATLive’s pay-as-you-go plan, $2.99 a minute) to $300 for 30 calls (Smith.ai’s human Virtual Receptionists), as at 2 November 2026. At 100 calls a month of 2.5 billable minutes each, the six services we priced came to between $448.50 (PATLive) and $1,725 (Ruby). Taxes and one-time setup fees are extra where the vendor charges them; see PATLive’s pricing page for a full published rate card.
Is a virtual receptionist cheaper than hiring a receptionist?
Usually, on paper. The US Bureau of Labor Statistics put the mean wage for receptionists and information clerks at $18.97 an hour, or $39,460 a year, in its May 2025 Occupational Employment and Wage Statistics (BLS series OEUN000000000000043417104), which is $3,288.33 a month before benefits and payroll taxes. That buys about 173 staffed hours a month. On PATLive’s published rates, an outsourced bill only passes that wage at about 2,238 billable minutes, roughly 37 hours of receptionist talk time a month. An in-house receptionist also does front-desk work an answering service does not.
Is per-minute or per-call virtual receptionist pricing cheaper?
It depends on how long your calls run. With the published rates we used, per-minute billing (PATLive) was cheaper at 1.5, 2.5 and 4 billable minutes a call, and per-call billing (Smith.ai Virtual Receptionists) was cheaper once the average call passed about 5.9 minutes at 100 calls a month, 4.5 minutes at 300 and 5.4 minutes at 600. Smith.ai argues the per-call case itself: it says per-call billing means nobody rushes your caller off the phone. Its Reasonable Use Policy limits what one call fee covers (intent, contact details, up to five short-answer intake questions and simple lead qualification), and calls outside that scope may incur additional fees.
Do virtual receptionists charge extra for after-hours or Spanish calls?
Of the services we read, PATLive says there are no night, weekend or bilingual fees; Smith.ai says calls at 2 pm and 2 am cost the same but sells a dedicated Spanish line at $1.00 a call; Ruby says there are no fees for coverage during certain periods and includes Spanish at no additional cost, though its FAQ also says bilingual service runs Monday to Friday, 5am to 6pm Pacific. Davinci’s FAQ says its live team answers 8 am to 8 pm Eastern on weekdays, with automated answering outside those hours.
Do spam calls count toward my virtual receptionist minutes?
It varies by vendor. Smith.ai says you are not charged for spam or unsolicited sales calls on its human plans, as long as the lines you forward pass Caller ID. Ruby lists robocall filtering, and Abby says it blocks unwanted calls to save time and minutes. On a per-minute plan, any unwanted call that does reach a receptionist uses minutes, so ask each vendor how spam is excluded before you sign.
How much does an AI receptionist cost compared with a virtual receptionist?
Less per call, on published prices. Smith.ai’s AI Receptionist costs $150 for 75 calls up to $800 for 500 calls a month, so 300 calls is $500, against $2,100 on Smith.ai’s human Pro plan and $1,206.50 on PATLive at 2.5 minutes a call. Abby counts a minute of AI answering as half a minute of its plan allowance. Zian, an AI receptionist in partnership-application beta, does not publish a price.
