Quick answer: Sign in to the RingCentral Admin Portal as an admin, open the AI tab, choose AI Receptionist and click Create. Build AIR from your website, Google Business Profile, IVR or by hand, set the greeting, hours, FAQs and transfers, test, then connect a number. Our estimate: 4 h 30 min across the 14 core steps, as at 31 October 2026.
This guide builds RingCentral’s own agent, AIR, in AIR Studio inside the Admin Portal, from RingCentral’s support articles and product pages read on 31 October 2026. Along the way you will meet RingEX, the Knowledge hub, IVR menus, call queues, Google Calendar, Outlook, Calendly, Salesforce, HubSpot, Zoho, SIP gateways and the EU’s AI disclosure. It adds two things we could not find in the 23 articles of RingCentral’s AIR help category, as at 31 October 2026: a timed checklist and a 10-call test script. We have not run these steps on a live RingCentral account; they are RingCentral’s documented steps in our recommended order. For cost, see our RingCentral AI Receptionist pricing breakdown; to use a different AI agent on RingCentral, see connecting a third-party AI voice agent to RingCentral or Zoom Phone.
Where Zian fits
If you only need a receptionist inside RingCentral’s call handling, AIR is built for that job and this guide gets it live. If the calls you answer also need chasing afterwards, Zian AI is our pick: it answers inbound calls 24/7 as an AI receptionist, qualifies callers, books appointments, transfers and takes messages, then runs follow-up by voice, SMS, email, WhatsApp, Instagram DMs and Facebook Messenger.
Zian handles answering machines and voicemail, works in 30+ languages with voice cloning, and connects to HubSpot, Salesforce, HighLevel, Zapier and an API. SmartReach AI™ orchestrates the channel and timing of follow-up; PrecisionPitch AI™ split-tests scripts against real outcomes. Zian has run outbound acquisition since 2017 and reports 50,769+ qualified sales appointments set. It is in a partnership-application beta with no published price; its three listed plans (Intel + Widgets (Free Forever), More Leads & More Intel, and GodMode Max Profits) each start with a partnership application. If you would rather not run any of this yourself, LeadsNow.ai runs it for you on Zian, pay-per-result.
What do I need before I set up RingCentral AI Receptionist?
You need four things before the first click: the right plan route, the right admin permissions, a number for AIR to answer, and the information it will be built from. RingCentral’s sign-in article says you can set up and manage AIR if you are an admin with Phone System or Auto-Receptionist permissions, or if you use AIR as a standalone product.
| Prerequisite | What RingCentral says | Why it matters for setup |
|---|---|---|
| Plan route | In the US and Canada, standalone (“Works with any business phone system”) or as an add-on for RingEX customers, with a 14-day free trial on both per the US plans page. In Australia, the UK and the EU, RingCentral sells AIR only “as an add-on”; its Australian plans page lists a RingEX Add-on, and we could not find a trial on it as at 31 October 2026 | RingCentral says AIR works with any phone “via call forwarding or SIP integration” and that you can keep your number or get a new local number; its Connect steps are written for company call handling rules, direct numbers and call queues |
| Admin role | Phone System or Auto-Receptionist permissions, or standalone AIR | A custom role without access to Company Numbers cannot see direct numbers on the Connect step |
| Region | US, Canada, Australia, the UK and Europe; “some features may vary” | EU accounts must play an AI disclosure that cannot be turned off |
| Build source | Website URL, Google Business Profile, an existing IVR, or manual entry | The source pre-fills the description, greeting, hours and generated FAQs |
| Transfer targets | A default transfer destination extension; your company directory for transfer by name | Decide who takes unresolved calls before you start |
| Knowledge sources | Website links and PDF, DOC, DOCX, CSV or TXT files | Sites behind a web application firewall must allow RingCentral’s published IP addresses |
| Optional systems | Google or Outlook calendar, a paid Calendly plan, Salesforce, HubSpot or Zoho, account texting | Each needs its own sign-in and permissions during setup |
One firewall detail is easy to miss. RingCentral’s AI solutions network requirements list the outbound IP addresses AIR uses to read websites and knowledge bases; for Australian accounts they are 13.54.212.178 and 13.55.172.36. If those are blocked by your web application firewall, AIR cannot read your pages.
The RingCentral AI Receptionist setup checklist, with time per step
The 15 steps below follow RingCentral’s wizard order, with one change we recommend: skip the wizard’s final Connect step, finish the skills, and only then connect a number. RingCentral documents Skip for now at that step. The times are our estimate for a single-site business with one location, not RingCentral figures. The core path comes to 4 h 30 min, or up to 5 h 30 min with the optional skills. RingCentral’s setup article warns that “you may have different setup options presented, or presented in a different order depending on your account type”, so expect small differences.
| # | Step | Where | What you decide | Our time estimate |
|---|---|---|---|---|
| 1 | Confirm the prerequisites | Outside AIR | Plan route (standalone in the US and Canada, or with RingEX), an admin with the right permissions, which number will be answered, your website or Google Business Profile, your transfer extensions | 20 min |
| 2 | Sign in and create the receptionist | Admin Portal > AI tab > AI Receptionist > Create | Source (Website, Google Business Profile, Existing IVR, or Set up manually) and primary language | 10 min |
| 3 | Set the profile | Wizard: AI Receptionist profile | Name, additional language, voice, personality, response detail, talking speed | 10 min |
| 4 | Edit the company description | Wizard: Company description | What you sell, what you do not, service areas | 15 min |
| 5 | Write the greeting | Wizard: Company greeting | Greeting text; in the EU, where the AI disclosure plays | 10 min |
| 6 | Check location and business hours | Wizard: Location and business hours | Which sites AIR mentions and the hours it quotes | 10 min |
| 7 | Review the generated FAQs | Wizard: FAQ | Which answers to keep; which to mark Exact afterwards | 30 min |
| 8 | Set transfers | Wizard: Transfers | Default transfer destination; whether callers can ask for people by name | 15 min |
| 9 | Run the wizard test call, then skip Connect | Wizard: Test call, Connect | Click Skip for now at Connect so nothing goes live yet | 10 min |
| 10 | Add knowledge bases | AIR Studio > Knowledge hub | Which web pages and files (PDF, DOC, DOCX, CSV, TXT) AIR may quote | 20 min |
| 11 | Finish routing skills | Receptionist > Skills; transfer destination name in Settings > General | Transfer by context rules, Offer help before transfer, transfer destination name, closed-hours greeting | 30 min |
| 12 | Optional: booking, lead capture, texting | Skills library; AIR Studio > Integrations | Google or Outlook calendar, Calendly, CRM, texting number | 30–60 min |
| 13 | Turn on alerts, spam detection and recording | Settings gear: Alerts, Spam Detection; receptionist Settings | Call summary recipients, usage-alert threshold, detection level, trusted numbers, recording | 15 min |
| 14 | Connect a spare number and run the 10-call test script | Receptionist > Channels > Direct numbers | Pass or fail on each call below | 60 min |
| 15 | Go live | Receptionist > Channels > Company call handling rules | Business hours rule, After hours rule, or both; first-day review | 15 min |
| Total | Core path (step 12 skipped) | 4 h 30 min | ||
| Total | With step 12 | 5 h–5 h 30 min |
Finish state: a spare number answered by AIR passes all 10 test calls, then your main business-hours or after-hours rule is switched to the receptionist and its status reads Connected.
How do I create the receptionist from my website, Google profile or IVR?
Sign in to the Admin Portal, click the AI tab and select AI Receptionist. That opens AIR Studio. Click Create (or Create new if you already have one). Under Add your business details, pick Website, Google Business Profile or Existing IVR, choose the primary language and click Create. If you have no website or listing to draw from, choose Set up manually at the bottom of the page instead, per RingCentral’s setup article.
The IVR route is the fastest if you already run one, with three conditions from RingCentral’s IVR setup article. It is “available only when creating your first AIR”. Each key press becomes a Transfer by context rule, and calls that match no rule go to your backup extension. And “Transfers to voicemail aren’t supported”, so any IVR option that sent callers to voicemail is routed to the listed extension instead. Building from an IVR does not change or unassign the original IVR: callers keep hearing the key-press menu until you connect AIR.
The profile screen sets how the receptionist sounds: a voice, a personality (Friendly, Neutral or Formal), a response detail (Concise, Balanced or Detailed) and a talking speed, with a play icon to preview. Personality changes tone and small talk, not the voice or response time. RingCentral’s language page lists 12 languages, including English (Australia), and says AIR can detect a caller’s language and switch to it. If you later change the primary language, update the company greeting to match.
How do I write the greeting and set business hours?
The wizard pre-fills a greeting with your company name; edit it so the first sentence names the business and what the caller can do. In the EU, RingCentral requires an AI disclosure that “can’t be turned off”, and you choose whether it plays at the beginning, middle or end of the greeting. After setup you can add an announcement before or after the greeting from the Company greeting skill.
Hours come from your website or Google listing and your company settings, and site type matters. RingCentral’s skills article says a single-site account can have one greeting for business hours and another for when you are closed, while “in a multi-site setup, the same greeting will play at all times”. With several locations, write one greeting that works at 2 am as well as at 2 pm.
Knowledge sources: the FAQ skill and the Knowledge hub
AIR answers from three places: the company description, the FAQ skill and any knowledge bases you attach. The wizard generates FAQs from your description; review every one and switch off anything wrong or out of date. After setup, each FAQ can be Adaptive (AIR rephrases to fit the conversation) or Exact (AIR reads it as written, “even when translating it”). RingCentral’s tip is that “Exact answers work well for compliance requirements”, which is where we would use them: cancellation terms, fees, disclaimers and anything a regulator cares about.
For longer material, open the Knowledge hub tab in AIR Studio, click Add knowledge base, then add website URLs or upload PDF, DOC, DOCX, CSV or TXT files. A knowledge base does nothing until it is attached: go back to AIR Studio, open the receptionist, click Knowledge bases, then Manage knowledge bases, tick it and save. That attach step is easy to miss.
How do I set transfer and routing rules?
AIR has four ways to move a caller to a person. The default transfer destination takes calls AIR “can’t resolve, calls affected by a technical issue, or callers who ask to speak with a person”; in Settings you can rename it from the default announcement, “Transferring you to the Receptionist.” Transfer by name is on by default, reads your company directory and respects dial-by-name excluded extensions. Transfer by context uses rules made of words or phrases a caller might say, each pointing to an extension or an external number, and RingCentral can mark each rule Ready, Needs clarity or Needs attention with a suggested rewrite. Finally, per RingCentral’s keypad input overview, a caller who keys a valid extension is transferred immediately; digit collection ends after three seconds without a key press or when the caller presses #.
Turn on Offer help before transfer if you want AIR to ask what a caller needs before handing over a vague “can I speak to someone?” call; without it, AIR transfers straight away. After a keypad transfer, RingCentral says the destination extension follows its own call handling, “such as going to voicemail if not answered”, and AIR has already disconnected.
Booking, lead capture and texting (optional skills)
Skip this section if AIR only answers and routes. For booking, connect Google or Outlook from AIR Studio’s Integrations tab, then create an appointment type in the Appointment booking skill. RingCentral’s calendar booking article sets the limits: one account per provider, up to 100 calendar schedules per account, durations of 15, 30, 45 or 60 minutes or custom, and “bookings can’t be scheduled more than 30 days in advance”. Appointments use your main site’s time zone, which RingCentral says cannot be changed. Calendly booking is documented in the help centre (paid Calendly plan, Owner or Admin account, up to 20 event types), although RingCentral’s pricing page still marks Calendly “Coming soon”; check your own Integrations tab.
Lead capture lets you create up to two questionnaires, each with the caller’s name, a caller type and up to five custom questions, and AIR always asks for the caller’s name and phone number, per the lead capture article. Responses go to the Leads tab, or to Salesforce, HubSpot or Zoho if connected, and the CRM account needs read, create, edit and search permissions on leads, contacts, accounts and activities. Texting works “if your account includes text messages”: you choose the extension and texting number AIR sends from. RingCentral’s skills article sends you to its AIR SMS Registration Guide before you set up texting, so allow for that registration in your timeline.
Need the receptionist and the follow-up in one place? Zian AI answers inbound calls 24/7, books appointments and follows up by voice, SMS, email, WhatsApp, Instagram DMs and Facebook Messenger. It is in partnership-application beta.
Call summaries, usage alerts and spam detection
Three settings sit behind the Settings gear at the top right of AIR Studio. Under Alerts, turn on “Get a call summary after every AI Receptionist call”; you can switch to an hourly digest after 10, 20 or 30 emails a day and add up to 10 recipients, per RingCentral’s call history article. In the same tab, set the first usage alert at 50%, 60%, 70%, 80% or 90% of your minute limit; the second alert always goes when you reach it.
Under Spam Detection, choose High or Medium (recommended), or None. Per RingCentral’s spam detection article, the spam blocker detects silent calls (15 seconds or more of continuous silence), echo calls and telemarketing calls, and you choose to hang up or transfer each type to the backup extension. Add suppliers and regular callers to trusted numbers. Call recording is separate: it is off by default, and it needs automatic recording on for the account with AIR’s extension on the Extensions to Record list before the receptionist’s own toggle works.
How do I connect AIR to a phone number or call queue?
Open the receptionist and click Channels in the left panel. Under Company call handling rules, toggle the Business hours rule, the After hours rule or both to route to AIR; on a multi-site account, first choose which sites route to AIR’s extension. Under Direct numbers, toggle each number you want AIR to answer. To put AIR behind a call queue, use Go to Call queues. Click Save and the status changes to Connected, per RingCentral’s connection article.
For testing, connect a spare direct number first and leave the company rules alone; switch the rules once it passes. If you run a third-party SIP-based PBX instead of RingEX, RingCentral’s PBX integration article has you create a SIP Gateway under Phone System > Phones & Devices > SIP Gateways and point the PBX at it. Standalone AIR, sold in the US and Canada, works with any phone “via call forwarding or SIP integration”, per the US pricing page, but we could not find a help article on forwarding a number from another carrier among the 23 articles in RingCentral’s AIR help category, as at 31 October 2026. Confirm those steps with your carrier and RingCentral.
The pre-go-live test script: 10 calls and what counts as a pass
Run these 10 calls against the spare number from a mobile phone before you move the main line. Each pass criterion is what RingCentral says should happen. After each call, open Call history and read the transcript, which records any texts sent and where the caller was transferred. The full set should use around 20 to 30 minutes of AIR time (our estimate), and RingCentral says test calls count towards your monthly minutes.
| Call | Tests | What you do | Pass if |
|---|---|---|---|
| 1 | Business-hours greeting | Ring the spare number in business hours from a mobile whose number you know. Listen to the greeting, then hang up. | Your greeting plays as written (plus the AI disclosure in the EU). Call history shows your mobile number as the caller and the call status as ended by caller. |
| 2 | Closed-hours greeting | Ring again after your business hours end. | Single-site accounts: the closed greeting plays (if you created one) and the hours quoted match your company settings. Multi-site accounts: the same greeting plays at all times, so check it makes sense at night. |
| 3 | Exact FAQ answer | Ask a question whose FAQ you set to Exact (a policy, a disclaimer, a fee wording). | AIR reads the answer word for word, with nothing added or shortened. |
| 4 | Knowledge-base answer | Ask something answered only in an uploaded file or a knowledge-base web page, not in the FAQ list. | AIR answers from that source. If it cannot, check the knowledge base is ticked for this receptionist and, if the site sits behind a firewall, RingCentral’s published IP addresses are allowed. |
| 5 | Transfer by name | Ask for a colleague by name, then for someone on your excluded list. | The first call reaches the named person; the excluded person is not offered. |
| 6 | Transfer by context | Say a phrase from one of your Transfer by context rules (for example, “I need to change a booking”). | The call lands on that rule’s extension or external number; on an internal extension, the person answering sees an AIR summary on the RingCentral app’s incoming-call screen. |
| 7 | Vague request for a person | Say only “Can I speak to someone?” | With Offer help before transfer on, AIR asks what you need first; otherwise it announces your transfer destination name and transfers to the default destination. |
| 8 | Keypad extension | During the greeting, key in a known extension. | AIR stops talking and transfers immediately, without asking you to confirm. Call history shows the status as transferred by keypad. |
| 9 | Booking and lead capture | Ask to book an appointment, answer the lead questions, and accept a time. | AIR asks your name and phone number, offers a free slot no more than 30 days out, and the event appears in the staff calendar in your main site’s time zone. The lead appears in the Leads tab or your CRM. |
| 10 | Second language | Ring and speak only in your additional language. | AIR answers in that language, and Call history’s Language column shows it. |
Any fail is a setting: a wrong answer points at the description, an FAQ or an unattached knowledge base; a wrong transfer points at a rule. Fix it and re-run only that call (RingCentral says changes take effect on the next call). Go live when every call that applies to your setup passes; calls 9 and 10 apply only if you turned on booking or a second language.
Go-live and the first week
To go live, open Channels, toggle the company call handling rule you want AIR to answer (business hours, after hours or both), save, confirm the status reads Connected, and make one real call to the main number. On day one, read every call summary email. In the first week, check Call history by call status, the blocked-calls list for genuine callers, and the Conversation insights tab, where RingCentral lists callers’ most common and unresolved questions. Watch the bell icon too: RingCentral raises a banner when, for example, a connected CRM loses access, and it creates one notification per issue source per day.
Common RingCentral AI Receptionist setup failures
Every cause below comes from a sentence in RingCentral’s own help articles; the rows run in roughly the order you would meet each one during setup.
| Symptom | Cause RingCentral documents | Fix |
|---|---|---|
| Calls never reach AIR | Not connected; calls follow existing call handling rules and AIR “will be bypassed” | Channels: toggle a rule or direct number, save, check for Connected |
| No direct numbers on the Connect step | Admin custom role lacks access to Company Numbers | Use an admin whose role includes it |
| AIR ignores a document or web page | Knowledge base added but not attached, or site blocked by a web application firewall | Manage knowledge bases and tick it; allow RingCentral’s published IP addresses |
| Greeting in the wrong language | Primary language changed without updating the greeting | Edit the Company greeting skill to match |
| Same greeting at night | Multi-site accounts play one greeting at all times | Write a greeting that works in and out of hours |
| IVR voicemail option no longer reaches voicemail | Transfers to voicemail are not supported from IVR-built rules | Point the rule at an extension whose own call handling goes to voicemail |
| Bookings land at the wrong time | Appointments use the main site’s time zone | Set staff availability with that time zone in mind |
| Calendly cannot be set up | Free Calendly plan or a non-Owner, non-Admin account; event types with payment or more than five custom questions cannot be enabled | Use a paid plan and an Owner or Admin account |
| Real callers hung up on | Spam detection treated them as silent, echo or telemarketing calls | Lower the detection level or add them to trusted numbers |
| Cannot delete an old receptionist | Still assigned to call handling rules | Unassign it in both Business hours and Closed hours settings first |

What changed in RingCentral AI Receptionist in the last 90 days?
One release falls inside the 90 days to 31 October 2026. RingCentral’s August 2026 release notes, dated 24 August 2026, added personality, talking-speed and response-detail presets, a central notifications panel, editable booking texts, the Connect step and Channels page for single-site and multi-site accounts, setup from an existing IVR, and an Active or Not in use status badge. The 27 July 2026 release before it added spam detection, a test call inside setup and usage notifications on by default. As at 31 October 2026, the AIR release notes index listed August 2026 as its newest page, so a tutorial written before July 2026 will show a different wizard.
When should I use a different tool instead of RingCentral AI Receptionist?
AIR suits a business already on RingCentral that wants the receptionist inside its call handling. Here are the three options we recommend, in our order of preference when calls feed a sales pipeline.
| Option | What it is | Answers inbound calls | After the call | Who sets it up | Price published |
|---|---|---|---|---|---|
| 1. Zian AI (our pick) | AI sales and reception agents platform | Yes, 24/7 as an AI receptionist: qualifies, books, transfers, takes messages | Follow-up by voice, SMS, email, WhatsApp, Instagram DMs and Facebook Messenger | You, on the platform, after a partnership application | No: partnership-application beta; plans named, not priced (Intel + Widgets is listed Free Forever) |
| 2. LeadsNow.ai (done-for-you pick) | Managed AI appointment setting and lead generation, run on Zian | Leads answered in under 60 seconds, 24/7 | Managed for you | The LeadsNow.ai team | Pay-per-result |
| 3. RingCentral AI Receptionist | RingCentral’s own AI receptionist, standalone (US and Canada) or with RingEX | Yes: answers questions, transfers by name, context or keypad, books, captures leads | Texts, if the account includes texting; call summaries to staff; lead records to Salesforce, HubSpot or Zoho | You, in AIR Studio | Yes; see our price breakdown |
How we built this table. zian.ai publishes this page and Zian AI and LeadsNow.ai appear in it, so read the order as our recommendation, not a neutral ranking. Zian and LeadsNow.ai facts are their own published claims; RingCentral facts come from RingCentral’s pages read on 31 October 2026. Zian’s honest gap: no published price during its beta. If the real choice is a receptionist versus an agent that chases leads afterwards, see our comparison of an AI receptionist and an autonomous sales agent.

Frequently asked questions
How long does RingCentral AI Receptionist setup take?
RingCentral’s AI Receptionist pages carry a “Set up in minutes” feature heading, and the wizard itself is short. Our estimate for a tested go-live is about 4 h 30 min of admin time across the 14 core steps, or up to 5 h 30 min if you add booking, lead capture and texting. The biggest items are reviewing generated FAQs (30 min) and test calls (70 min), not clicking through the wizard.
Do I need RingEX to use RingCentral AI Receptionist?
In the US and Canada, no. RingCentral sells AIR there as a standalone plan that it says works with any business phone system, via call forwarding or SIP integration, and as an add-on for RingEX customers, according to its US AI Receptionist plans page, read on 31 October 2026; both plans come with a 14-day free trial on that page. In Australia, the UK and the EU, yes: RingCentral’s AI Receptionist product page says AIR is sold there “as an add-on”, and its Australian plans page lists a RingEX Add-on. Our separate price breakdown covers what each route costs.
Why is my RingCentral AI Receptionist not answering calls?
Usually because it is not connected. RingCentral’s connection article says that if AIR is not added to a specific number or extension, calls follow your existing call handling rules and the receptionist is bypassed. Open the receptionist’s Channels page, switch on the business-hours or after-hours rule or a direct number, save, and check the status reads Connected.
Can RingCentral AI Receptionist be built from my existing IVR?
Yes, but only when you create your first receptionist. RingCentral turns each IVR key press into a transfer rule based on what callers say. Transfers to voicemail are not supported, and the original IVR keeps answering calls until you connect the new receptionist.
Do test calls count towards my AI Receptionist minutes?
Yes. RingCentral’s setup and testing articles both say test calls count towards your monthly minutes, so a long round of testing uses part of your plan’s allowance. The Test tab also offers a chat test, which lets you check answers through typed messages.
Is RingCentral AI Receptionist available in Australia?
Yes. RingCentral’s setup article lists the US, Canada, Australia, the UK and Europe, and says some features may vary by country. In Australia RingCentral sells AIR as an add-on, not as a standalone plan, per its AI Receptionist product page. English (Australia) is one of the 12 languages on its multi-language support page.
